Overview
The Course Outline Mapping and Management System (collectively, "COMMS," "we," or "us") is committed to protecting the privacy of your users. This privacy statement explains how we collect personal information, and how we may use or disclose that information in connection with the App. This Privacy Statement also describes the measures we take to protect the security of the personal information you entrusted us with.
COMMS is intended for use by organizations, such as Colleges and high schools.
Data Collection
COMMS requires some personal data to operate and provide your organization with a service. Your users provide some of this data directly when they sign up with COMMS. We also obtain personal information from Azure AD which integrates with COMMS as an identity provider.
The data we collect can include the following:
- Personal information: first name, last name, and email address.
- Credentials: Passwords, and similar security information used for authentication and account access.
- Analytics and Usage Data: We collect analytics such as page views, usage data, and other telemetry for logging, maintenance, and application improvement.
Data Collection Rationale
We collect personal information that is used to create and manage your users’ account and allow them to authenticate and maintain sessions. This information is also used to provide personalized services and support.

Data Collection Method
We may collect analytics and metadata using cookies and tracking technologies, such as Azure Application Insights and Google Analytics. These tools enable us to gather valuable insights about the usage of our platform to improve the user experience and overall performance of our services.
If your organization has connected COMMS to your Azure Active Directory, then data is also obtained from Azure AD. This information is made available to end-user administrators for the purpose of management.
Data Retention
Your organization has the right to request deletion of the personal data of its users at any time. Users with administrator access may also delete user accounts.
Data Storage
COMMS is hosted exclusively on the Azure cloud platform and data is primarily stored within the Canada Central data center. Some legacy course outlines may currently be stored in a US data center, but efforts are being made to migrate this information to the Canada Central location as well. The data associated with individual users is consolidated within a single Azure database, and segregation is maintained using a Tenant Identifier, which serves as a delimiter for all records.
Security
COMMS takes the security of user information seriously and has implemented industry-standard security measures to protect user information from unauthorized access, use, or disclosure. We encrypt our database and hashes passwords, as well as protect connection credentials to ensure the security of your information. We also conduct regular security audits to identify and address potential vulnerabilities.
Changes to this Privacy Statement
COMMS may update this Privacy Statement from time to time to reflect changes in our practices or legal requirements. We will notify clients of any significant changes by contacting your organization’s point of contact.
